Full Job Description
Our client, an Investment Advisory firm located in Nolita Manhattan is seeking to hire a Temporary Receptionist to sit on the 3rd floor, also known as their client floor. This position will start in the beginning of December and continue through the end of March. There will be a high volume of visitors from clients to candidates, so it is important that this person has experience in a front-facing role. This position requires someone in office 5 days per week from 8am - 5pm with flexibility to cover the 8:30am - 5:30pm shift at times.
Responsibilities:
- Manage building intercom system and direct visitors accordingly
- Welcome guests, escort them to a conference room, offer a beverage
- Answer phones and direct calls as needed
- Oversee Firm's calendars and management of conference rooms
- Accept deliveries of packages, food, etc. and notify employees as applicable
- Communicate effectively with guests and employees
- Maintain a welcoming, professional, and neat reception area
- Support the Office Team in day-to-day administrative tasks and facilities maintenance
- Assist in handling an array of office requests for dial-ins, conference rooms, thermostat
- adjustments, travel requests, shipping labels, etc.
- Work with vendors to ensure maintenance of office equipment
- Setup and cleanup of weekly office lunches
- Setup of conference rooms for internal and external meetings, which may include ordering
- food and setting up rooms with appropriate tableware
- Coordinate with IT department for AV needs for internal and external meetings
- Tidy up conference rooms after all meetings
- Restock kitchen and conference room supplies
- Assist with ad hoc projects (client mailings, packaging promotional materials, etc.)
- Assist with any firm gatherings and parties
- Proofread transcriptions and upload them into our internal research database
- Maintain daily logs for the team and report stats monthly
- Distribute incoming mail and prepare outgoing mail and packages
- Monitor security cameras throughout the building
Qualifications:
- A minimum of 2 years of experience as a receptionist or administrative support
- Bachelor's degree or secretarial school
- Proficient in Microsoft Office - Outlook, Word, Excel and Internet
- A professional demeanor and positive attitude
- Strong organizational and time management skills, with an ability to multi-task and prioritize in a deadline driven environment
- Knowledge of operating office equipment (copiers, printers, A/V, etc.)
- Skilled typist with strong attention to detail, high accuracy and excellent proofreading skills
- Excellent written and verbal communication skills
- Strong work ethic
- Problem-solving mentality
- Comfortable working under pressure
Rate:
- $25 - $27/hr
