Our client, a pharmaceutical services company, is actively seeking a dynamic and task-oriented Executive Assistant to provide direct support to the CEO! This role requires a professional who brings strong organizational skills, project management expertise, and a resourceful, self-directed approach to succeed in a high-energy corporate environment.
About You:
- 5+ years of Executive Assistant experience, ideally supporting C-level executives in a fast-paced setting.
- Proven ability to maintain strict confidentiality and demonstrate discretion in all communications.
- Strong interpersonal skills, adaptability, and a team-oriented mindset, capable of working seamlessly with other business leaders and colleagues.
- Demonstrated experience with heavy, complex calendar management and the coordination of executive communications.
- Excellent communication skills and a proactive, 24/7 approach to supporting executives across time zones.
- Skilled in Microsoft Office Suite, especially Word, Excel, Outlook, and PowerPoint, with experience in Concur for travel and expense reporting.
About the Job:
- Manage complex calendar arrangements, ensuring all meetings, appointments, and events are scheduled accurately with no conflicts.
- Handle executive communications, including calls, emails, and client interactions on behalf of the CEO.
- Arrange all travel logistics for CEO, including detailed itineraries for domestic and international travel, private and commercial flights, and any necessary visa arrangements.
- Prepare and submit monthly expense reports through Concur, managing both American Express reimbursements and cash expense reports.
- Provide additional project support as needed, including scheduling conference rooms and organizing food and beverage requests for meetings.
- Plan and coordinate events, including client and team meetings, happy hours, and various office bonding activities to foster team cohesion and client engagement.
- Act as an on-site presence for the CEO at headquarters, building and maintaining impactful relationships, and reporting back with key updates and insights.
- Step in to support other Executive Assistants as needed, ensuring seamless administrative coverage across the organization.
This direct hire position offers a salary range is paying up to 105,000 annually depending on experience and is based in Yardley, PA, with a hybrid work schedule.
